Verifying & Auditing Equipment
Use this workflow for periodic hardware audits — confirming that asset records match physical equipment, that warranties are up to date, and that all devices are correctly assigned.
When to Verify
Section titled “When to Verify”- New employee onboarding — confirm their assigned devices are registered
- Employee offboarding — confirm all devices are returned and unassigned
- Quarterly/annual hardware audit
- After a warranty expiry alert appears on the Dashboard
Checking Warranty Status
Section titled “Checking Warranty Status”From the Dashboard
Section titled “From the Dashboard”The Dashboard’s Warranty Alerts panel shows all assets with expired or expiring warranties (within 90 days). It shows:
- Asset name and ID
- Status badge (
Expired) - Expiry date and days since expiry
- Assigned employee (if any)
From the Assets table
Section titled “From the Assets table”- Go to Assets
- Use the All Statuses filter and select Expired to see all expired warranties
- Review each asset and update the Warranty Expiry Date or mark for renewal
Checking Asset Assignment Accuracy
Section titled “Checking Asset Assignment Accuracy”- Go to Employees
- Check the Assets count column — employees with
0assets may need equipment assigned - Click an employee’s name to see their full asset list
- Cross-check against the physical devices they are using
Updating Asset Records
Section titled “Updating Asset Records”If you find discrepancies (wrong model, missing serial number, incorrect condition):
- Open the asset via its ID link in the Assets table
- Edit the relevant fields
- Save — all changes are logged automatically in the Activity Log
Activity Log Audit Trail
Section titled “Activity Log Audit Trail”The Activity Log provides a complete, tamper-proof history. Use it to verify:
- When an asset was last assigned and to whom
- Whether an employee’s equipment was updated recently
- Who made changes and when
Go to Activity in the top navigation to view all 111+ recorded events.
