The vendor workflow covers how to work with external contractors and service providers, from initial assignment through completion and performance evaluation.
Vendor Assignment Process

Assigning a Vendor
Section titled “Assigning a Vendor”- Open the work order
- Click “Assign” → “External Vendor”
- Search or select vendor
- Set due date
- Add special instructions
- Click “Send Assignment”
Vendor Notification
Section titled “Vendor Notification”When assigned, vendor receives:
- Email notification
- Work order details
- Property location
- Contact information
- Access instructions
- Due date
Vendor Portal
Section titled “Vendor Portal”Vendor Access
Section titled “Vendor Access”Vendors have limited system access:

Work Order Workflow for Vendors
Section titled “Work Order Workflow for Vendors”Step 1: Accept Assignment
Section titled “Step 1: Accept Assignment”Vendor receives notification and:
- Reviews work order details
- Clicks “Accept” or “Request Reschedule”
- If accepting, confirms availability
- Work order moves to “Assigned”
Step 2: Schedule Visit
Section titled “Step 2: Schedule Visit”If not already scheduled:
- Click “Schedule Visit”
- Propose date/time
- Property manager approves
- Confirmation sent to all parties
Step 3: Arrive On Site
Section titled “Step 3: Arrive On Site”When arriving:
- Click “Check In”
- System logs arrival time
- Status changes to “In Progress”
- Property staff notified
Step 4: Perform Work
Section titled “Step 4: Perform Work”During the visit:
- Complete required tasks
- Document with photos
- Note any additional issues found
- Track time spent
Step 5: Complete Work
Section titled “Step 5: Complete Work”When finished:
- Click “Complete Work”
- Fill completion form:
- Work summary
- Parts used
- Time spent
- Any follow-up needed
- Attach final photos
- Submit for review
Step 6: Check Out
Section titled “Step 6: Check Out”- Click “Check Out”
- System logs departure time
- Triggers review process
Communication
Section titled “Communication”Messaging Vendors
Section titled “Messaging Vendors”Within the work order:
- Go to Comments section
- Click “Add Comment”
- Vendor is notified
- Vendor can reply in same thread
Urgent Contact
Section titled “Urgent Contact”For urgent matters:
- Call vendor directly (contact in profile)
- Send SMS notification
- Mark message as urgent
Communication Log
Section titled “Communication Log”All communication is logged:
- Timestamp
- Sender/recipient
- Message content
- Read status
Quotes and Approvals
Section titled “Quotes and Approvals”Requesting a Quote
Section titled “Requesting a Quote”For non-contracted work:
- Create work order with “Quote Required”
- Assign to vendor(s)
- Vendor submits quote
- Manager reviews
- Approve or negotiate
- Approved quote becomes work order
Quote Submission (Vendor)
Section titled “Quote Submission (Vendor)”- Open quote request
- Click “Submit Quote”
- Enter:
- Labor costs
- Parts/materials
- Timeline
- Notes
- Submit for review
Quote Approval (Manager)
Section titled “Quote Approval (Manager)”- Review submitted quote
- Options:
- Approve - Proceed with work
- Request Revision - Ask for changes
- Reject - Decline quote
- Request Additional Quotes - Get more options
Performance Tracking

Section titled “Rating Vendors”After work completion:
- Open completed work order
- Go to “Rating” section
- Rate on criteria:
- Quality of work
- Timeliness

Performance Metrics
